Poster Presentations


Below you will find the instructions for creating and uploading your virtual poster and optional video presentation.

Thank you for taking part in the SEB/SoE2023 Hybrid Joint Meeting and for submitting a poster abstract! Whether you have chosen to attend virtually or in-person, if your poster abstract was accepted, you are required to upload a virtual poster (PDF). You will also be able to upload a 5-minute video presentation explaining your poster. Your poster and video will be available for meeting registrants to view on the poster webpage during the event and then will be made public after the meeting has concluded. We ask that once the poster webpage becomes live that you do not share the URL until after the meeting has concluded.

Poster Awards

The Society for Economic Botany's Julia F. Morton Award will be presented for the best poster (virtual or in-person) at the annual meeting for students or early career professionals (5 years or less post-doctoral experience). The recipient receives an award certificate and $500.00. To apply for the Julia F. Morton Award please fill out this form.

The Society of Ethnobiology's Best Ethnobiology Poster Award winner receives a cash prize of $300. To apply for the Best Ethnobiology Poster Award please fill out this form.

The judging portion of the 2023 poster session will be on Tuesday, June 6th, between 3-5 PM in ESC 4+5+6. Both in-person and virtual registrants that requested to be considered for the poster awards are strongly encouraged to be at the judging session. In-Person registrants will be physically at the location. For the virtual participants, the judging will be based on the 3-5 minutes video presentations you load to YouTube and will be viewed by the judges ahead of time. Judges will then use the judging time to ask any questions they have of the virtual presenters.


Presentation PDF's and YouTube URL

The upload form for poster PDFs and video presentation YouTube URLs can be found by clicking here. All poster presenters are required to have a poster PDF uploaded to this form, however, if you are also planning on uploading a presentation to YouTube, please wait to fill out the form until you have both the PDF and YouTube URL ready.

  • What is a virtual poster?
    • A virtual poster is a PDF of your poster – you do not need to physically print it out if you are not at the meeting in person.
    • The maximum poster dimensions are 4’x3’ - pdf 150 dpi (size limit 10MB)
    • The PDF does not have to have a high resolution to be seen clearly online. Please make sure to save your PDF in a lower resolution or in a “web version"
    • If your file is too large, try reducing the file size. If it is still too large, email us and we will supply a shared drive in which to upload your document.

  • Do I have to upload a presentation video?
    • You are strongly encouraged to create a presentation to go with your poster, especially if you are a virtual presenter. Note that judges will be viewing the virtual presenters' videos presentations before the judging session and will be using the judging session to ask questions.
    • Please note that if you go over the 5-minute limit, your video will not be included in the YouTube playlist or considered for judging.

  • Instructions on how to make your presentation
    • The video should capture you explaining your poster in 5 minutes or less. The video is designed for attendees to watch you present as if you were at an in-person poster session. 
    • When filming, adjust the settings or the camera view so that both you and the poster are captured in the shot at all times. Please be sure that the video is not zooming just on your face, zooming on portions of the poster, or alternating between you and the poster. The video can be recorded using a camera or smartphone.
    • You can record your presentation in front of, or next to, a physical, printed poster, or in front of, or next to, a digital image of your poster. 
    • After you have finished filming, look through the recording to make sure your voice is cleareverything is well lit, you are happy with the content, and you have stayed within the 5-minute limit (you can trim it via your phone or programs like QuickTime Player)

  • Instructions on how to upload your presentation to YouTube and then send the link
    • The next step is to upload your recording to your own YouTube channel. YouTube channels can be created by anyone with a Gmail account. If you have a Gmail account you essentially have a YouTube channel. Gmail accounts are free, so you can also start a Gmail account just for this purpose.
    • To access your YouTube account, open your Gmail and click on the 9 dots at the top of the page. Scroll down and you will see the YouTube logo.
    • Once in YouTube, click on the “Create” button at the top right of the page (it looks like a video recorder) 
    • Click Select Files or drag and drop your video to upload. 
    • On the details screen for the title put “SEB/ISE 2023 Meeting Poster: Your first and last name
    • For the Description put your abstract title in the first line, put your full abstract below the title.
    • Click “No, it’s not made for kids
    • Click “Show More” and you can add tags, select a video language (all videos should be in English for this meeting), and recording date
    • Then click “Next” three times and under visibility click “Public
    • How to send YouTube Link: Once your video has finished uploading and can be viewed (sometimes this can take a while) copy and send the “video link” to the upload form.
